Who we are
In this policy, "we" and "us" means iComm Communications Ltd, trading as iComm Solutions, registered in England and Wales under company number 08771266. "You" means the individual whose personal information we hold. "The site" means www.icommsolutions.co.uk.
Information we collect
Information you give us
When you book a repair, request a collection, ask for a quote, buy something, or contact us by phone or email, you give us information such as your name, contact details, address or postcode, and details of the device and the fault. If you are a business customer this may include the contact details of your staff.
We do not ask for special category data — information about health, religion, ethnicity, sexual life, political opinions, trade union membership or criminal offences — and we ask that you do not send it to us.
Information about your device
To repair a device we may need to power it on, run Apple's diagnostics and confirm the repair was successful. We may therefore see what is on the device. We do not copy, retain or look through your content, and we ask you to back up and where possible remove your data before handing a device over — see our repair terms.
Information collected automatically
Our web host records standard technical information when you visit — IP address, browser type and version, the pages requested and when. This is used to keep the site running and secure.
Cookies
This website does not set advertising or tracking cookies and does not profile you across other websites. If that changes we will update this policy and ask for your consent first, as the law requires.
Why we use your information, and our lawful basis
To perform a contract with you
- Carrying out the repair or service you have asked for, including ordering the correct part.
- Contacting you about the progress of your repair, and about collection and delivery.
- Taking payment and issuing receipts and invoices.
Because you have consented
- Sending you marketing by email or SMS, where you have asked us to. You can withdraw consent at any time.
For our legitimate interests
- Telling existing customers about services similar to those they have already bought from us, which you can opt out of at any time.
- Administering and improving the site, including troubleshooting, testing and analysis.
- Keeping the site and our systems secure.
- Keeping records of work carried out, so we can honour the warranty on it.
To comply with a legal obligation
- Keeping accounting and VAT records, and responding to lawful requests, court orders or legal claims.
Who we share it with, and where they hold it
We share personal information only where it is needed to do the job. Each of these acts on our instructions and may not use your information for their own purposes. Where a supplier holds information outside the United Kingdom we have said so, because we think you should be able to see it rather than take it on trust.
We also share information with Apple and other parts suppliers where a repair requires it, with couriers where a device is being sent or collected, and with our accountants and accounting software. We do not sell your personal information, and we do not share it for advertising.
Information held outside the UK
As the list above shows, the systems holding most of what we know about you — your repair record, your quotes and invoices, your order history — are in the United Kingdom. Some of the services we rely on are not.
Where information is transferred outside the UK, we rely on safeguards approved under UK data protection law — the Information Commissioner's International Data Transfer Agreement, or the UK Addendum to the European Commission's standard contractual clauses — or on a finding of adequacy by the UK government for that country.
Security
We take appropriate technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure. No transmission over the internet can be guaranteed completely secure, so email sent to us travels at your own risk. Where you have an account with us, keeping your password confidential is your responsibility.
How long we keep it
We keep repair records for as long as needed to honour the warranty on the work and to meet our legal and accounting obligations — normally six years for records with a financial element. Marketing contact details are kept until you ask us to stop. Anything we no longer need is deleted or anonymised.
Your rights
Under UK data protection law you have the following rights. Exercising them is free.
- Access. Ask for a copy of the personal information we hold about you. This is free.
- Rectification. Ask us to correct anything that is wrong or incomplete.
- Erasure. Ask us to delete your information, where we have no overriding reason to keep it.
- Restriction. Ask us to limit how we use your information while a query is resolved.
- Objection. Object to processing we carry out on the basis of our legitimate interests.
- Portability. Ask for your information in a portable format, or sent to another provider.
- Withdraw consent. Where we rely on your consent, withdraw it at any time — including by using the unsubscribe link on any marketing email.
To exercise any of them, contact us using the details below. We will respond within one month. If you are not satisfied with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113. We would rather you came to us first so we can put it right.
Children
We do not knowingly collect personal information from anyone under 16 through this website. If a device belongs to a child, we deal with the parent or guardian who brings it in.
Other websites
This site links to other websites, including our booking system and our store. Those sites have their own privacy policies and we are not responsible for them. Please read them before submitting personal information.
Changes to this policy
Any changes will be posted on this page, and the review date at the top will be updated. Where a change is significant we will tell you directly.
